We view our halls and apartments as a home and are protective of resident privacy. Soliciting or conducting business in our communities, including within an individual room or apartment unit, is not permitted. This includes approaching students with products, sliding information under doors, stopping students in common areas, calling students, etc.
University Groups
University units and registered student groups may use the following guidelines for submitting requests. All materials must be in alignment with the University's policy on Equity, Diversity, Equal Opportunity, and Affirmative Action. Requests require approval and should be limited to one per semester, per type.

There are digital displays located near the lobby of most of our buildings. Advertising with our digital signage is an effective and sustainable way to share your information. We do not accept digital signage requests from student groups.
Requests for digital signage should be submitted to [email protected] at least two weeks prior to the requested posting date and must include:
- A Digital File
- jpg, jpeg, or png
- 2894x1628 pixels - 2894 pixels wide by 1628 pixels tall
- Unit, Department, or Event clearly represented
- Contact Information
- Name & Email of contact
- University Department or Unit
- Requested Date Range of Display
- No more than two weeks

Tips:
- Slides change on a 10 second rotation
- Keep the design simple
- Limit the amount of words
- Utilize links or QR codes to share more information
- No external logos or advertising

Each building has an information table where University departments or groups may place brochures, flyers, and business cards at the discretion of Housing staff. Drop off brochures, flyers, and business cards at the building's information desk. These areas are cleared of all content each semester or more often as needed.

The department or registered student group name must be clearly visible on the mailer. Email a PDF copy and label purchase request to [email protected] two weeks before your desired mailing date. Include complete contact information and your department or student group website. If applicable, you must also submit an EFS account number and U of M Printing Services job number. Requests for currently registered student groups must come directly from the group's listed student officer.
- Purchased labels will be placed on marketing materials by the purchaser. If printing is done through U of M Printing Services, HRL sends label data directly to Addressing & Mailing.
- Labeled mailers must be sent in bundles through Campus Mail (this process does not require postage).
- The cost to purchase labels for all halls is $275 (or $50 per individual building). The cost to mailings to specific gender groups is $150; first-year-students-only is $200.
- Checks (written out to the University of Minnesota) must be dropped off at the time of pick-up if you do not have a department EFS account.
- Labels must be used for the requested mailer and cannot be saved or duplicated for future mailings.

Due to the high volume of requests, University department requests are prioritized over student organizations. Prior approval is required and postings are installed on bulletin boards as space is available. Questions? Email [email protected].
There is no charge for approved postings. Deliver 200 - 8.5 x 11-inch posters, separated and labeled with the following quantities to the Housing & Residential Life central office located in Comstock Hall - East.

The following is a list of guidelines to be followed by University departments, recognized student organizations, and groups requesting the use of table space in on-campus residence halls and apartments. This activity is appropriate for recruitment, distribution of information, and canvassing. Groups may not use the table for commercial solicitation (selling of items) or for programming purposes.
All requests are subject to approval by the building's Business Operations Supervisor. Any violation of these guidelines will result in a restriction from future use for your organization. University units and registered student organizations may request a table a maximum of two times during the academic year.
- Requests must be submitted at least two weeks in advance of the tabling event
- Requests must list the total number of people staffing the table.
- A sample of all materials to be distributed at the table must be approved prior to the tabling event.
- Tabling is only available between 4:30 p.m. and 7 p.m.
- The table size and location will be determined by the building staff.
- People staffing the table are not allowed to leave the table area, follow/harass residents, or enter residential areas.
- Electrical or media equipment must be approved prior to the tabling event. Housing does not provide equipment. If used, the volume must be monitored at all times.
External Organizations
All our communities have posting boards and information tables in the lobby for non-University businesses and organizations. No alcohol or tobacco advertising is allowed. Housing & Residential Life cannot sell or distribute addresses (including email addresses) to non-University businesses and organizations.

Postings
Once approved, flyers will be posted by building staff based on available space. Typically, posters and flyers stay up for 2-4 weeks, depending on demand for bulletin board space. Mail or drop off ONE 8.5 x 11-inch flyer at the Information Desk of each building (13 total).
Information Tables
Each building has an information table for brochures, flyers, and business cards. These are placed at the discretion of building staff. Drop off copies at building Information Desks. Tables are cleared of all content on a semesterly basis or as needed.
Mailings
If you choose to send mailers via the U.S. Postal Service, you must list the room number or mailbox number in the address. We do not supply this information. All generically addressed items will be returned to the sender.
Due to our spaces serving as student's on campus home, Housing & Residential Life will not approve filming or photography requests when a building is occupied. Visit the University's policy page for additional information about filming and photography on campus.
